Why the Out-of-the-box Microsoft 365 Backup Is Not Enough

Data security and recovery are two major concerns for businesses migrating to the cloud.

Data can be lost for any number of reasons. While ransomware or malware attacks, system failure etc may sound too unlikely to happen (they’re actually more common than you would imagine!), a major cause of data loss is actually, believe it or not, accidental or malicious deletion by end users.

Microsoft Office 365 has industry-leading security measures, and many businesses assume that since it is Microsoft they can rely on them.

But there are limitations to it that can cause you serious harm, not just in running your business operations smoothly but also in protecting your customers’ data. Knowing these limitations (and solutions) will make you want to consider a third-party backup.

MS gives you a standard 30 days backup for data and one year backup for emails.

Did you know that Microsoft stores your files for only 30 days (SharePoint and OneDrive both)? And after 30 days, your deleted documents are gone forever.

On the other hand, your emails are saved for a year. And after, they too are deleted forever.

Which means, there is no way you can recover them in case you need them. This can be especially critical for documents that may be needed after 30 days.

Now consider a typical business scenario with this. A scenario where an employee leaves and a new one joins in. The transition takes time and by the time the new employee realises they need some files, they’re already gone forever.

Another issue in the same scenario is the process required to preserve mailboxes when a user leaves the organisation. Before the user leaves the organisation, a litigation hold or in-place hold must be placed on the mailbox to preserve its content. If a hold is not placed on a mailbox before it’s deleted, then the mailbox content cannot be preserved. Placing holds is, by the way, a premium feature that is not available in all Office365 plans.

Most MS365 customers aren’t aware of this and put their mission-critical files and emails on MS365

There is really no way to recover your important business data in this case. As mentioned, this extends to One Drive and Sharepoint as well.

Accidental / malicious deletions of emails and files can lead to permanent loss of data past these dates endpoint

Did you know that accidental / malicious deletions of emails and files accounts for 70% of all lost data?

So no, it is not an unlikely situation. It happens frequently and businesses realise only too late that their Microsoft 365 is not a great backup solution after all.

Accidental or malicious deletions can lead to permanent loss of data past the 30 day and one year endpoints.

If there is a problem with billing, MS can unilaterally delete files with no recourse

While this is self-explanatory, you need to keep in mind that Microsoft controls your data. They can delete it if they want and there is nothing you can do about it.

Especially as a small business, litigations or any kind of legal recourse will cost you more than compensate you.

In the case of any dispute with Microsoft, over any issue, they can exercise their complete control on your business-critical data.
